The Educational Computing Association of Western Australia (ECAWA) is committed to protecting your privacy and handling your personal information in a responsible and transparent way, in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

We only collect information that is necessary to meet our obligations to our members and to comply with applicable state and federal agencies. Personal information may include:

• Employment details, school affiliation, educational sector
• Areas of interest, subjects taught
• Access or dietary requirements
• Membership and event registration info

Why We Collect It

Your information is used to:

• Apply member discounts and process event registrations
• Issue tax invoices, certificates, badges, attendance lists
• Send reminders, newsletters, updates, and invitations
• Confirm eligibility for projects, awards, and activities
• Meet reporting requirements to state/federal bodies

How We Handle Your Information

• Access control: Only authorised staff or volunteers with a job-related need can view personal information.

• Communications: Emails are sent from official association addresses (e.g., secretary@ecawa.wa.edu.au) to protect your contact details.

• Service providers: Payments are safely processed via Stripe, PayPal, or EFT. ECAWA does not store credit card details. Banking details are only retained for regular reimbursements, with your consent.

Cookies & Online Privacy (Website-Specific)

Applies to ECAWA’s public website (“ECAWeb”):

• Comments: If you leave a comment, we collect the comment data, IP address, browser details, and possibly a Gravatar-hash for avatar display.

• Cookies:

  • Comments opt‑in cookie: saves your details for 1 year

  • Login/session cookies: last 1 day (article edit), 2 days (login), 2 weeks (remember-me), 1 year (screen prefs)

• Embedded content: Third-party embeds (like videos) may gather data independently

• Location metadata: Avoid uploading images with embedded location info (e.g. EXIF data)

• Data retention: Comments and metadata are saved indefinitely; user-registered data remains until voluntarily edited or deleted .

• Password reset: You’ll receive IP details in reset emails

Sharing & Disclosure

• Sponsors do not receive your personal data. Instead, ECAWA may forward sponsor material on your behalf
• For individual contact requests, personal details aren’t directly shared. Instead, members may forward enquiries to your ECAWA email at your discretion.
• Your information is only accessed by authorised ECAWA Committee members or volunteers who need it to carry out their roles.
• We do not sell or rent your personal information. We may share limited information with trusted third parties who assist us with services such as event management or email communications, but only where necessary and under strict confidentiality agreements.

Your Rights & Choices

You are entitled to:

• Opt out of mailings at any time
• Access, correct, delete or download your personal information
• Request deletion of comments
• Withdraw banking details used for reimbursements
• Alert us if you think we’re asking for unnecessary details
• Contact us if you suspect mis-use or inappropriate data disclosure

Data Security & Retention

• We implement access controls and reasonable measures to prevent unauthorised use or disclosure.
• Payment data (like credit card info) is handled by secure, compliant third-party platforms.
• We retain personal information as needed for operational or legal purposes, then securely delete or anonymise it.
